Position: Band 3 Support Typist
Team: General Surgery
Type: Part-time
Location: Onsite Working

We are looking for a dedicated support typist to join our General Surgery Team. As part of a clerical team, you will provide a comprehensive, confidential secretarial and administrative support service to the Consultants, Medical staff, clinical team, and department on a day-to-day basis.

Key Responsibilities:

  • Provide support during core hours of 8 am to 5 pm, with flexibility required based on the needs of the service.
  • Supervise and oversee the workload allocation of the administrative team when necessary.
  • Deliver comprehensive, efficient, and confidential secretarial and administrative support for the specialities in General Surgery, including assistance with typing demands.
  • Work as part of the administration team and provide cross cover during staff absence as required.
  • Ensure effective communication and support the achievement of our vision and values.

Core Duties Include:

  • Provide a comprehensive supportive clinical secretarial service to Medical Secretaries and the Clinical Team.
  • Process all correspondence for the Clinical Team, ensuring timely typing and dispatch of clinical letters, discharge summaries, medico-legal reports, and results, primarily from audio/digital dictation.
  • Handle telephone enquiries from patients, relatives, and staff, directing and prioritizing queries as appropriate.
  • Maintain confidentiality in all communications and secure handling of sensitive information.
  • Collaborate with medical, professional, and allied medical staff internally and externally to ensure successful outcomes for all enquiries.
  • Retrieve patient notes upon receipt of test/investigation results and alert Clinical Teams of any urgent or abnormal findings.
  • Contribute to the development of the Directorate, maintaining cooperation and supporting the Trust's efficient functioning.
  • Assist colleagues when needed and demonstrate supervisory duties to maintain high service standards.
  • Coordinate Clinical Teams’ diaries for effective time management, attend meetings as required, and maximize the use of innovative IT systems.
  • Provide general administrative services including filing, photocopying, and sorting daily post.
